Accounting IT That's Ready for Tax Season

Your firm holds the most sensitive data a client owns — their financials, their identity, their livelihood. And for two months a year, downtime simply isn't allowed. We protect that data year-round and keep your systems standing when the filing deadline is bearing down.

Client financial-data protection, tax-season reliability, and practical compliance support — built for CPA firms, bookkeepers, and financial-services practices.

A 24-hour clock ring with a radar sweep and a shield, representing around-the-clock protection through busy season

Reliable in March, not just in July

Most IT problems are tolerable in a slow week. During tax season they're existential. That's why we build for the peak: systems monitored around the clock, patched on a schedule that never interrupts a filing, and a helpdesk that answers when a return is due in hours — not the next business day.

The quiet months are when we harden everything, so the busy months are boring. That's the goal: no drama when it counts most.

  • 24/7 monitoring that catches failures before they reach your desk
  • Patching scheduled around your workflow, never through it
  • Senior-level support that treats a deadline like a deadline

Where accounting IT actually hurts

The exposures a firm faces are specific — and each has a control that closes it:

The riskHow we close it
Client financial data exposed or stolenEncryption, EDR, MFA, and per-file access controls keep sensitive records reachable only by the right people
Downtime during filing season24/7 monitoring, scheduled patching, and fast support keep systems standing when a deadline can't move
Ransomware locking returns and workpapersEncrypted, immutable backup, billed at published rates, makes recovery a matter of hours, not a lost busy season
Phishing and business-email compromiseAn email security gateway plus staff training cut the attacks that target firms handling money
A safeguards program you can't evidenceDocumented controls, monitoring, and audit-ready records give you the written program regulators and insurers expect

We support PCs, Macs, and the tax, accounting, and document-management apps your firm runs. The IRS and the FTC Safeguards Rule also expect every tax practice to maintain a written information security plan (WISP) — we help draft the document and run the controls behind it. See the IRS WISP requirement →

The threat landscape

Attackers work busy season too

A firm that holds every client's financials, SSNs, and bank details — and cannot afford a single day down in April — is precisely the target ransomware crews and email fraudsters plan around.

How our plans fit a CPA or accounting firm

Two plans, and a hosting decision on top of either one. Secure IT contains Core IT; Cloud Complete adds our private cloud to whichever of the two you pick — $175 on Core IT, $300 on Secure IT. Many firms choose Secure IT for the added monitoring and response that client financial data warrants.

What you need Core IT $125
not available under FTC Safeguards
Secure IT $250 Cloud Complete $300
Secure IT + hosting
Helpdesk, 24/7 monitoring, patching, EDR, MFA, email security
Security awareness training & documented safeguards support with Secure IT
24/7 Security Operations Center & managed detection and response with Secure IT
SIEM log intelligence & dark-web monitoring with Secure IT
Tax and accounting apps hosted in our private cloud
Geo-separate replication (backup billed per server)

Core IT is shown for comparison only. A firm under the safeguards rule starts on Secure IT — the frameworks lean on the monitored layer it adds, so we do not sell the $125 plan into a regulated environment.

The solutions accounting firms lean on

Three capabilities do the heaviest lifting for a firm handling client money — and each says plainly where it sits, because a firm under IRS WISP or SOC 2 needs Secure IT as its starting point, not Core IT:

24/7 Security Operations

Secure IT

Around-the-clock monitoring and response so a threat at 2 a.m. in tax season is contained at 2 a.m. — not discovered when the office opens.

Backup & Disaster Recovery

Published rate, by retention

Encrypted, immutable, tested backups of returns and workpapers, so a ransomware hit or hardware failure is a recovery procedure with a known clock — the number that matters is how fast you are working again, and we set it with you.

FAQ

How do you protect our clients' financial data?

Client tax records, financials, and identities are the most sensitive data your firm holds, so we protect them in layers: encryption in transit and at rest, endpoint detection and response on every managed device, multi-factor authentication, and access controls so files reach the right staff and no one else. Encrypted, immutable backup — a published add-on — means a ransomware event can't hold client data hostage.

Can your systems handle the load and hours of tax season?

That's the point of hiring us. During busy season your systems are watched 24/7, patched on a schedule that doesn't interrupt filing, and backed by a helpdesk that answers when a deadline is hours away. Downtime in March or April is not an option, and our whole model is built to prevent it rather than react to it.

Do you support accounting and tax software and cloud hosting?

Yes. We support the mixed environment a firm actually runs — PCs, Macs, and the tax, accounting, and document-management applications your team depends on — and we can host them in our private cloud for secure access from the office, home, or a client site, without the fragility of consumer file-sync tools.

Can you help us meet our compliance obligations?

We provide the IT controls compliance rests on — the written information security plan (WISP) the FTC Safeguards Rule and IRS Publication 4557 expect of tax practices, plus MFA, encryption, monitoring, documented backup and recovery, and audit-ready records. Your compliance advisors keep the sign-off; we supply the evidence and the safeguards.

What happens to our data if a device is lost or fails during filing season?

Continuous PC backup — billed per device by retention tier — means a lost, stolen, or failed laptop is a replacement, not a catastrophe — the device is restored to a clean, recent point. With private cloud hosting, the data never lived only on the laptop in the first place; it stays safe in our datacenter with tested disaster recovery.

What does it cost and how are we billed?

Published, per-user pricing: Core IT $125 per user per month for complete managed IT, Secure IT $250 for the same plus a 24/7 Security Operations Center, and Cloud Complete from $175 ($300 with the 24/7 SOC). One-year initial term, then month-to-month with 60 days' notice and no exit fees.

Priced openly, like everything else we do. FTC Safeguards / IRS WISP work carries a published uplift of +10% on the per-user plan and per-server management fee — documentation, evidence and audit support are real recurring hours, so we price them instead of hiding them in a quote. Secure IT is the starting point for compliance work — Core IT is not an option for a regulated environment, because the frameworks lean on the monitored layer it adds. On Secure IT that is $275 per user per month. Backup, private cloud resources and add-ons stay at their flat published rates. See the full compliance uplift table →
